​Office Coordinator/Administrator
 
Cowichan Brain Injury Society (CBIS) has an opening for a full-time office coordinator and administrator. We are a small team building a relatively new charitable organization, and as such we require someone with good team skills as well as the ability to work on their own. 
 
We are looking for a compassionate, open-minded and energetic addition to our team; someone who wants to be part of our growth and maturation as an agency. We offer education, rehabilitation and support for people living with the effects of acquired brain injury, so some understanding, knowledge and experience with that would be beneficial. Experience and understanding of the non-profit sector also an asset.
 
Key Responsibilities
  • Office Coordination:
    • First and main contact for clients, members and public
    • Keeping office well-functioning, stocked and comfortable
    • Program facilitation as needed 
  • Administration/Bookkeeping:
    • Quick Books - payroll, invoices, bank reconciliation, budgets etc
    • Record-keeping and database input
    • Correspondence and reports
    • Donation tax receipting
    • Various HR tasks (ROEs, Criminal Record Checks)
  • Financial & Fundraising Support:
    • Funding proposals and donor reports 
    • Fundraising events and activities 
  • Event & Meeting Coordination:
  • Coordination of meetings and CBIS events
  • Process Improvement:
  • Identify areas for improvement and implement new, efficient office processes
Skills & Qualifications
  • Organizational Skills:
    • Ability to manage multiple tasks, prioritize effectively, and meet deadlines 
 
  • Technical Skills:
    • Proficiency with the Microsoft Office Suite and other cloud-based software 
    • Social media management
 
  • Communication Skills:
    • Comprehensive written and verbal communication skills 
 
  • Problem-Solving:
    • Ability to identify problems, research solutions, and implement effective processes 
 
  • Proactive & Adaptable:
    • A willingness to take ownership of work and adapt to unexpected situations
 
Reports To 
Executive Director 
 
Anticipated Start Date  
Negotiable  
  
Hours  
30-35 per week, Monday to Friday, some paid weekend or evening events 
  
Salary  
$27/hour, excellent paid holiday allowance and paid sick time.  No benefits at this time.
